Terms and Conditions

These are the terms and conditions governing the agreement between Ark of the Covenant Tours (referred to as “the Providers of the services”) and you (all persons traveling with us, named on a booking). These terms are essential to understand, so please take the time to read them thoroughly. Confirming travel with Ark of the Covenant Tours signifies that you have read, understood, and agreed to these terms and conditions as outlined below.

Booking and Payment

  1. Service Availability
    All services are subject to availability and are not guaranteed until confirmed.

  2. Deposit
    A 50% deposit of the total cost for each person listed on the booking form is required at the time of booking. Some tours may require a higher deposit, which will be indicated before confirmation.

  3. Special Payments
    Gorilla permits, where applicable, must be paid in full at the time of confirmation and are non-refundable.

  4. Final Payment
    The remaining balance is due 30 days before the start of the tour unless otherwise specified. A portion of the balance may be paid at the tour’s commencement if agreed upon. Failure to complete payment may result in cancellation, subject to standard cancellation fees.

  5. Late Bookings
    For bookings made within 30 days of the tour start date, full payment is required at the time of booking.

  6. Client Information
    At the time of booking, we require full details for all travelers, including names as they appear in passports.


Prices

  1. Currency
    All prices are quoted and payable in US Dollars unless otherwise stated.

  2. Price Adjustments
    Prices are subject to change without notice until confirmed.

  3. Inclusions
    Prices generally include:

    • Accommodation as specified.
    • National park and reserve entrance fees.
    • Overland transportation and domestic flights (if stated).
    • Guides, drivers, and tracking permits.
    • Meals as specified (breakfast, lunch, dinner).
    • Unlimited mineral water during safaris (excluding lodges/camps).
  4. Exclusions
    Prices exclude personal expenses, insurance, laundry, drinks, passport/visa fees, tips, and international flights unless specified otherwise.


Descriptions and Service

  1. Accuracy
    All information provided about accommodations and activities is accurate to the best of our knowledge. However, deviations may occur.

  2. Transportation
    Vehicles provided will vary depending on group size and itinerary. While we ensure vehicles are well-maintained, delays or issues such as breakdowns are possible. In such cases, we will arrange alternatives promptly.

  3. Wildlife Viewing
    Wildlife sightings cannot be guaranteed, but our guides will do their utmost to ensure an exceptional experience.

  4. Subcontractors
    We reserve the right to utilize subcontractors when necessary.


Complaints

  1. Immediate Reporting
    If you encounter any issues, inform your guide or representative immediately to resolve them.

  2. Formal Complaints
    If unresolved, a formal complaint must be submitted in writing within 28 days of completing the tour. Complaints outside this timeline will not be considered.


Cancellation and Refunds

  1. Cancellation by You
    Cancellations must be confirmed in writing or email within 24 hours of verbal notice. Charges are as follows:

    • More than 30 days before the tour: 50% of the deposit is forfeited.
    • 30–15 days before the tour: 50% of the total cost is forfeited.
    • Less than 15 days before the tour: 100% of the total cost is forfeited.
    • Gorilla permits are non-refundable.
  2. Cancellation by Us
    We may cancel due to unforeseen circumstances. Options will include a refund or alternative arrangements.


Liability

  1. Travel Risks
    Travel and adventure involve risks, and participation is at your own risk. We accept no liability for injury, illness, loss, or damage during the tour.

  2. Third-Party Services
    While we work with reputable partners, we are not responsible for their actions or errors.

  3. Force Majeure
    We are not liable for delays, cancellations, or changes caused by events beyond our control, such as weather, strikes, or natural disasters.


Medical & Travel Documents

  1. Requirements
    You are responsible for ensuring valid passports, visas, vaccinations, and travel insurance.

  2. Timeliness
    It is your responsibility to arrive on time with all necessary documents for transport and border crossings.


Tour Authority

  1. Guide Authority
    Your guide’s instructions must be followed for safety and group harmony.

  2. Behavior
    We reserve the right to remove participants causing disruption or danger.
